Connect HiBob to Synthesia to keep your Learner Portal in sync with your HR system — employees from a HiBob report are added as learners automatically, and refreshed every day.

Learner Portal integration

This connector populates your Synthesia Learner Portal. The employees you sync from HiBob become learners in Synthesia.

Use this integration to provision learners in Synthesia directly from HiBob, instead of uploading them by hand. You create a custom report in HiBob, authenticate with a service user, and select that report in Synthesia. The employees in the report are added to your Learner Portal and refreshed daily, so new joiners, role changes, and departures are reflected automatically. Because the sync is driven by a report, you control exactly who is included — filter by department, location, or any other criteria.

Before you start

You'll need permission to create reports, service users, and permission groups in HiBob, and organization admin access in Synthesia.

Step 1: Create the report

In HiBob, go to Analytics Reports, click + Add report, and choose Start from scratch → General report. Give it a recognizable name (for example, Synthesia HRIS sync) — you'll select it by name when you connect in Synthesia.

Click Apply, then save the report.

Step 2: Create a service user

Synthesia authenticates as a HiBob service user, not a personal account.

Go to System Settings → Integration tools → Service users and click + Create service user. On creation, HiBob shows the ID and Token — copy both now. The token is shown only once and can't be retrieved after you close the window, so store it securely. You'll paste both into Synthesia in step 4.

Step 3: Grant permissions


The service user needs read access to reports and to the employees you want to sync. Set this up with a dedicated permission group.


Go to Permission groups, click + Create permission group (for example, hris-sync), then:

  1. Features tab → Reports → check View reports according to people's data access rights. Leave the create, edit, and export options unchecked.

  2. People's data tab → Access data for → set Whose data can members access? to Everyone, or to a subset if you only want to sync part of the organization.

  3. Click Save.

  4. Add the service user from step 2 as a member: Group actions → Edit details, then add the service user to the group.

Step 4: Connect in Synthesia

  1. As an organization admin, go to Manage → Integrations in Synthesia.

  2. In the HRIS section, click Connect next to HiBob.

  3. Paste the Service User ID and Service User Token from step 2, then click Connect.

  4. Select the report you created in step 1 from the dropdown, then click Sync employees. The first sync starts immediately, then repeats daily.

Step 5: Monitor (optional)


After the first sync, the status page shows the current sync and the next scheduled one. Return any time via Manage to trigger a manual sync, check how many employees were synced, or change the selected report.
