Collaborate on videos with your team in a shared workspace.

Workspace is an Enterprise plan feature.

A workspace is a shared environment where team members can collaborate on videos, folders, and templates. All workspace members can view and work on content in real time.

This is also where you organize and manage that content—move it, share it, download it, or clean it up as needed. You can do all of this for one item at a time, or select several folders and videos together and act on all of them at once with bulk actions.

Workspace

Content here is organized into two sections: Folders at the top, then Projects (your videos) below. If you don't see a Folders section, it's simply because the workspace doesn't have any folders yet. Select the New folder icon next to the Workspace header to create one.

Folders

Organize videos into folders and control access with folder sharing permissions. For example, you could organize by team, giving access to only the relevant members; by audience, separating external-facing videos from internal ones; or by topic.

Hover over a folder and select the three-dot menu for the following actions:

  • Open in new tab
  • New folder: Create a subfolder.
  • Collaborate: Share the folder with specific users and set permission levels—see Folder sharing permissions below.
  • Rename folder
  • Move to: Move to another folder or workspace. If you're in one or more organizations, the folder can also be moved to a folder or workspace in another organization.
  • Download all videos (.mp4): Download every video directly inside the folder as individual .mp4 files. Downloading a folder only includes the videos directly inside it; videos in subfolders aren't included. See Downloading videos in bulk to learn more about what's included.
  • Remove: Delete the folder. It's available in Trash for 30 days.

Folder sharing permissions

Share folders with specific users and set permission levels:

  • No access (workspace level): Private, only accessible to invited users.
  • Can comment: View and comment only.
  • Can edit: View, comment, edit, and create content, but can't share.
  • Full access: Complete control, including delete, move, publish, and share.

Permissions propagate from parent folders to subfolders and files unless manually overridden. Files can have broader access than their parent folder.

Folder sharing permissions

Share a folder

Select the three-dot icon at the top-left of a folder and select Collaborate to:

  • Invite users by email.
  • Set permission levels (Can comment, Can edit, or Full access).
  • Configure workspace-level access.

The Collaborate panel also shows everyone who currently has access to the folder, and a separate General access control, which opens the folder to everyone in your workspace at a chosen level, without inviting each person individually. Choose a level:

  • Full access: Can edit and share.
  • Can edit: But can't share.
  • Can comment: But can't edit.
  • No access: Turns off workspace-wide access, so only individually invited people can open the folder.

Copy link copies a link for existing collaborators to open the folder directly.

External guests can only access folders explicitly shared with them. All folders shared with you appear in the Shared with me page, accessible from the left-hand navigation menu.

Videos

All videos in the current workspace are visible to workspace members.

Video actions

Hover over a video and select Translate to translate it, or Edit to go to the video edit page. Select the three-dot menu for more options.

For a video that's been generated at least once, options are grouped into a video-level section and a version-specific section:

Video:

  • Open in new tab
  • Collaborate: Invite people to view, edit, or comment on the video. This is the same action as the Invite button on the video's own overview page, just labeled differently in this menu.
  • Move to: Move to another folder or workspace. If you're in one or more organizations, the video can also be moved to a folder or workspace in another organization—select the back arrow (<) to see all the workspaces you have access to, then select the one you want to move the video to.
  • Rename

Under the video's current version:

  • This option's label depends on the video's sharing state: Share if it's never been shared, Shared if the currently published version is the latest one, or Reshare if you've shared it before but a newer version exists that hasn't been published yet. Selecting any of these opens the same Share video panel described in Video publishing, where you can update the share to the latest version, share it, or unshare it, depending on its current state.
  • Download: Opens a submenu with Download (.mp4), Download audio (.wav), Download subtitles (.srt or .vtt), and Download XLIFF (.xliff)—see Download.
  • Duplicate: Create a copy of the video.
  • Translate: Create a localized version. This option can appear disabled depending on the video's state.
  • Save as template: Convert to a reusable template.
  • Analytics: View the video's analytics.

For a draft that's never been generated, all of these options are available too, without the grouping above—Reshare is the only one that needs a generated version to actually exist first. Two things behave differently for a draft:

  • Download only offers XLIFF for a draft, and for the root video of an untranslated video or one that's been dubbed or translated—the .mp4, audio, and subtitle formats need a generated version to exist.
  • Analytics is still selectable, but shows no data yet, since there's nothing to have been viewed.

Select Remove to delete the video. It's available in Trash for 30 days.

Drag and drop

Drag any item to move it into a folder shown on the same page.

If you have multiple items selected, dragging any one of them drags the whole selection together. Drop them into any folder shown on the page, or onto a parent folder in the breadcrumbs at the top of the page, if you're inside a subfolder.

Sort, filter, and display options

Use the controls in the upper right to organize your view.

Sort

Sort by Alphabetical, Date created, or Last updated, then choose an order (for example, oldest or newest first):

Filter

  • Created by: Synthesia, API, or Outreach. You can select more than one.
  • Content type: All, or just Dubbed & imported.

Bulk actions

Select multiple folders and videos at once—together or separately—to invite collaborators, share, download, move, or delete them all in one action.

Selecting multiple items

Select the checkbox at the top-left of an item (grid view) or at the start of its row (list view) to select it.

  • Select a range: Select one item's checkbox, then hold Shift and select another item further down the page. Everything in between gets selected too.
  • Add or remove individual items: Select their checkboxes individually, whether or not you already have a range selected.
  • You can mix folders and videos in the same selection.

Bulk toolbar

Once you have one or more items selected, a toolbar appears at the top of the page, showing how many items are selected:

  • Collaborate: Invite people to all of the selected items at once.
  • Share: Publish all of the selected videos at once.
  • The download icon: Download all of the selected videos as individual .mp4 files. See Downloading videos in bulk below for what's supported.
  • The move icon: Move all of the selected items to a different folder or workspace.
  • The trash icon: Delete all of the selected items.

Note:

Share and Download won't be available as options if any of the selected videos haven't been generated yet, or if you've selected any folders alongside videos.

Downloading videos in bulk

Download multiple videos at once as individual .mp4 files, either from the bulk toolbar or from a folder's Download all videos (.mp4) action.

  • You can download up to 20 videos at a time.
  • Each video downloads as its own .mp4 file—bulk download doesn't bundle them into a single zip.
  • You can only download from one folder at a time via its actions menu; selecting a folder alongside videos removes the download option from the toolbar.
  • Interactive videos can't be included in a bulk download—the same restriction applies to downloading a single video.
  • If your selection includes drafts, generated videos, and interactive videos together, only the generated, non-interactive videos are downloaded.
